In the 0:00:08.490,0:00:15.280 last tutorial I looked at how to download and install the DAISY Add In for Word 2010 0:00:15.280,0:00:20.890 and in this tutorial I will look at the main features of the Save As DAISY Add tab and 0:00:20.890,0:00:27.590 how to convert a document to a DAISY digital talking book, that is a talking book which 0:00:27.590,0:00:35.479 features audio, navigation and other accessible elements such as images and tables with alternative 0:00:35.479,0:00:37.760 descriptions. 0:00:37.760,0:00:46.720 I’ll be using the Demofile document to demonstrate, and the Demofile document comes as part of 0:00:46.720,0:00:54.500 the Save As DAISY download. I’d also recommend you take some time to go through the other 0:00:54.500,0:01:00.600 files such as the Instruction Manual and Getting Started guides. 0:01:00.600,0:01:08.480 So you can see here that I have the demofile open. And I also have the Accessibility Tab 0:01:08.480,0:01:15.930 showing, now remember the Accessibility Tab appears after the download and install process. 0:01:15.930,0:01:24.160 So let’s explore some of the main features. I’ll work from right to left and in the 0:01:24.160,0:01:31.370 Help section help is available in the form of a Word document or manual and in a DAISY 0:01:31.370,0:01:37.510 Talking Book. Now you’ll need a DAISY reader to listen to this format but I’ll be covering 0:01:37.510,0:01:41.770 this in the next tutorial. 0:01:41.770,0:01:48.000 The next main feature is the Settings and you can see here there are limited options 0:01:48.000,0:01:55.500 to choose from such as how you paginate your document and the size of images you would 0:01:55.500,0:02:02.490 like to use in the exported or translated audio format. 0:02:02.490,0:02:09.940 Next is the Language option and there’s quite a range of languages to choose from. 0:02:09.940,0:02:23.010 Then the Footnote for adding accessible Footnotes to your document and then Import DAISY Styles 0:02:23.010,0:02:30.780 which I’ll be covering shortly. I’ll also be covering the Validate feature to ensure 0:02:30.780,0:02:37.440 your documents are valid and ready for the export or DAISY translation process and there 0:02:37.440,0:02:44.670 are also options to mark text as an Acronym or Abbreviations, so for example, you can 0:02:44.670,0:02:49.990 mark any abbreviations in your document and it will be translated as the full word in 0:02:49.990,0:02:57.660 the final audio translation. 0:02:57.660,0:03:03.209 And of course the final part, this is where you can choose to export the document to a 0:03:03.209,0:03:10.099 DAISY digital talking book. In this tutorial we are going to use the built-in DAISY Lite 0:03:10.099,0:03:16.840 Pipeline translator so I’ll be choosing and demonstrating the Full DAISY (from a single 0:03:16.840,0:03:25.260 Docx) but if you’re an advance user who is familiar with the XML format that option 0:03:25.260,0:03:33.090 is also available. If you’re unsure what the XML format is then don’t worry as the 0:03:33.090,0:03:39.459 Save As DAISY will do everything for you but I suppose the best way to explain in basic 0:03:39.459,0:03:47.390 term is that the XML file is essentially a container file or a file that contains information 0:03:47.390,0:03:55.319 that can be read and interpreted by other bit of software, for example the full DAISY 0:03:55.319,0:03:58.890 Pipeline translator. 0:03:58.890,0:04:04.420 So first of all let’s look at this Demofile document. I’m going to switch to the Home 0:04:04.420,0:04:11.110 tab and just check that the document contains the correct heading structure so I’m going 0:04:11.110,0:04:18.779 to select ‘Styles’ so the Style Panel appears and if I go through each of the headings 0:04:18.779,0:04:25.689 I can see that it does have some structure built-in, which is good. DAISY requires the 0:04:25.689,0:04:30.689 heading structure so when it converts a document to audio it uses the heading structure as 0:04:30.689,0:04:37.419 a way of navigating through the audio. You can also see the heading styles are here too 0:04:37.419,0:04:46.379 in the Ribbon so Word 2010 makes it really easy to add heading styles to a document. 0:04:46.379,0:04:53.770 I can also change the look of the Styles by selecting ‘Change Styles’ or alternatively 0:04:53.770,0:05:00.919 if I switch back to the Accessibility tab I can choose the DAISY Styles here. I’ll 0:05:00.919,0:05:03.999 stick with Word’s styles for just now. 0:05:03.999,0:05:11.509 Okay, so now I want to check that this document is valid and ready for the translation process, 0:05:11.509,0:05:21.369 so to do this I first of all Save the document and then select the Validate button. 0:05:21.369,0:05:27.580 So I can see there is an error. While it provides some information on the errors I really need 0:05:27.580,0:05:37.539 to find more. An excellent feature of Word 2010 is the Accessibility Checker and by selecting 0:05:37.539,0:05:46.749 File, Info and Check for Issues I can check the Accessibility of the document. So now 0:05:46.749,0:05:54.279 I can see there are some issues which need to be checked, such as line spacing, adding 0:05:54.279,0:06:00.219 alternative text to images and tables and there’s also an explanation to do this too. 0:06:00.219,0:06:07.229 Okay, I’ve made the changes, and I’ve saved the document and I need to Validate 0:06:07.229,0:06:15.300 it again. Good, that’s fine, now I’ll select Save As Full DAISY and the Talking 0:06:15.300,0:06:24.499 Book option, choose somewhere to save my DAISY book, say a folder on the desktop and give 0:06:24.499,0:06:33.449 my talking book an title, an author and select Translate and let the automated process take 0:06:33.449,0:06:57.429 over. Okay, that’s fine, everything has worked 0:06:57.429,0:07:03.119 smoothly, I’ll just check in this folder, and I can see the audio and other files are 0:07:03.119,0:07:07.740 all there.
